About the Role
We are seeking an exceptional Data & AI Executive Assistant to own the coordination of our analytics and AI initiatives alongside core project-management and administrative duties. You’re a proactive, detail-obsessed self-starter who loves structuring data roadmaps, keeping ML/AI sprints on track, and taking charge of the behind-the-scenes tasks that let our leadership focus on driving a data-driven strategy and innovation. You’re also deeply analytical, with a real thirst for digging into data, questioning every data point, and an unwavering eye for accuracy.
Key Responsibilities
- Data Calendar & Sprint Management
Build, maintain, and update data project roadmap and calendar in Trello
Apply project-management best practices (sprints, stand-ups, retros) to help the data team hit milestone
- Data Budget Oversight
Track departmental spend against your analytics budget (e.g. tools, cloud costs, consulting)
Highlight variances, suggest cost-savings (license optimizations, open-source alternatives)
- Project Coordination for Data Initiatives
Monitor timelines, track deliverables, and send reminders for data-model builds, dashboard rollouts and analyses
Facilitate stakeholder check-ins (weekly syncs, status updates) so analytics engineers stay aligned
- Administrative Support
Manage inbox: prioritize data-team communications, flag urgent stakeholder requests
Help keep up to date with ThoughtSpot changes and that new changes are being dicumented
- Hiring & Onboarding Assistance
Screen data-analyst/engineer candidates, coordinate interviews, and follow up with feedback
Proactively source talent on LinkedIn based on data and AI skillsets; liaise with Fiona to refine JD
- Meeting Notes & AI Transcriptions
Use Gemini AI notes from data-team meetings; format and distribute clear summaries with action items, owners, and timelines
- Research & Insights Gathering
Investigate industry benchmarks: data-stack trends at leading e-commerce/health brands (e.g., Gymshark, Peloton)
Compile findings to inform tooling decisions, RFPs, or conference attendance
- LinkedIn & Thought Leadership Support
Curate weekly digest of data and AI news, analytics case studies, and leadership insights for your LinkedIn posts
Pull from Oscar’s newsletters or top blogs in wellbeing and analytics; draft captions and hashtags
- 1:1 Prep & Follow-up
Draft personalized pre-read briefs for your 1:1s: metrics snapshot, open blockers, and proposed discussion points
After each 1:1, circulate a concise recap with next steps and deadlines
- Time & Priority Management
Shape your weekly schedule: block focus time for model development, data reviews, and strategic planning
Send you an AM briefing of top priorities and a check-in on progress
- ThougthSpot Support
Log into and assist with ThoughtSpot dashboards—minor tweaks, user-access requests, and basic monitoring
Share with the data team any metrics you find interesting, have moved drastically
Support on documenting data dictionary and data bible for the rest of the company
- Proactive Process Improvement
Identify repetitive data-prep tasks; suggest automations or standard templates (e.g., reporting scripts, data-quality checks)
- Reporting & Analytics Summaries
Collate the weekly Data Summary report: top trends, KPIs, anomalies, and upcoming experiments
Qualifications
Strong analytical skills with hands-on familiarity with spreadsheets
Excellent attention to detail and a relentless focus on data accuracy
Proven ability to question assumptions, dig into data discrepancies, and validate insights
Outstanding written and verbal communication skills, with the ability to draft clear reports and executive briefs
Proactive problem-solver who thrives in a fast-paced, collaborative team environment
Experience managing Jira/Asana (or similar PM tools) and tracking Scrum workflows
